Event and Team Headshots

  • Both! We have a beautiful studio in Plaza Midwood, Charlotte, NC. If you need us to come to you, we will set up a headshot station for your event or team headshots for an additional fee.

  • A session outside of the studio often takes up most of the photographer’s day when you add travel and prep time. Our pricing reflects the extra time and effort that goes into setting up and breaking down our headshot station.

  • Yes! If your company has existing headshots or photos taken by another photographer in one of your other national offices, show us the photos or your style guides and we’ll match the backdrop color and lighting.

  • We specialize in high-volume headshot photography at corporate events. Our setup is streamlined, averaging 2-3 minutes per person. This keeps the line moving quickly and ensures attendees spend more time networking and engaging with your event, not waiting for photos.

  • We create an organized system with pre-event scheduling or digital sign-ups. For larger groups, we provide multiple photographer stations to maximize efficiency. Our goal is to deliver professional headshots at scale without overwhelming attendees.

  • Flexibility is built into our service. We’re used to adapting to corporate event schedules. If sessions need to shift or extend, we can adjust and, if necessary, add additional hours on-site.

  • Yes. Our mobile studio requires as little as 8x10 feet of space. We’ve shot in many trade show booths before Even in tight venues, we can create a clean, branded setup with professional lighting and backdrops. Your headshot station will look polished and inviting.

  • We use the same studio lighting setups, camera settings, and post-processing style every time. Whether you hire us in Charlotte, Chicago, Orlando, or across multiple offices nationwide, your headshots will look uniform and brand-consistent.

  • We bring professional studio lighting and backup gear to every event. No matter the environment—dim ballrooms, bright trade show floors, or uneven conference hall lighting—we create flattering, studio-quality headshots and event photos.

  • Participants can preview their photos on their phones immediately after their shoot and select their favorite headshot immediately. Final retouched images are delivered within a few business days, or rush options are available.

  • We use a seamless digital headshot selection system right on their mobile devices where each person views their images right after the session. This avoids back-and-forth emails later and ensures efficient flow during the event. Most importantly, there’s no extra work for you.

  • All retouched images are delivered in a secure online gallery, straight to their respective emails. You will also have access to download the entire gallery of headshots, and organize headshots by employee name for easy internal use.

  • Yes! We provide headshots optimized for LinkedIn profiles, websites, presentations, and print. This saves your marketing team the hassle of resizing files. Just let us know when you book.

  • Yes. We carry full liability insurance and can provide a Certificate of Insurance (COI) for your venue. This is standard for corporate event and on location photographers.

  • We know executives have limited time. We prioritize their headshots, schedule them first, and create a smooth, time-efficient process so they’re photographed quickly without waiting.

  • We offer same-day highlight or next-day delivery so your marketing team can share images on social media, press releases, or live event feeds for an additional fee. Full galleries are typically delivered within 5–10 business days but can be rushed as well.

  • We create a detailed shot list with your team before the event, covering everything from keynote speakers and award presentations to sponsor signage, décor, and candid networking. Our goal is to deliver a complete story of your event—not just staged photos, but images that highlight the atmosphere, energy, and branding.

  • As experienced corporate event photographers, we know how to move discreetly. We use silent shooting modes and long lenses when needed, so we capture close-up moments without interfering with the experience of your speakers or attendees.

  • Once you provide us with your event agenda and shot lists, we handle the rest. We coordinate with event planners, AV teams, and venue staff so you don’t have to worry about directing us. Our goal as your corporate event photography partner is to free you up to focus on running the event, knowing the photography is handled professionally

  • Federal Copyright Law states that the copyright of any photographic work created is immediately assigned to the photographer. The process to transfer that copyright is long and intensive, so Organic Headshots instead assigns a simple license to you which grants nearly every right and privilege a copyright would. You have hired us to take your photos so that you can use them, so your license allows you to publish, print, and distribute the photos everywhere without needing to credit us or pay us any additional fees or royalties. There are no hidden fees, commercial usage fees, or licensing fees.
